Job Description

C&A Foundation is a private foundation that aspires to a fair and sustainable apparel industry in which everyone can thrive. The foundation works to address the deeply-rooted challenges of the sector by supporting and driving initiatives, and partnering with key stakeholders to maximise results. We provide grants and support initiatives that help transform the way the apparel industry works.

Key Responsibilities:

  1. Agenda management and travel planning
    • Schedule and organise internal and external meetings.
    • Make travel arrangements for team members and assist with related needs such as visa procurement and invitation letters.
    • Support planning of field trips and trips of visitors, which include content development, preparation of pre-reading, logistical arrangements, and travel.
  2. Secretarial support
    • Assist in preparation of presentations, internal and external communications, etc.
    • Arrange signature of grant agreements and consultancy contracts with the Grant Administration team in Europe.
    • Follow-up with grantees on reporting requirements and feedback on reports.
    • Support the Supply Chain Innovation and Transformation team in contact management as needed.
    • Collect and file documentation.
    • Coordinate expense reports of team members.
    • Help to arrange conference calls.
  3. Content management
    • Develop success stories from grant information managed by the Innovation and Transformation team.
    • Work with Programme Officer and Manager on summary reports for critical grants to share with internal and external stakeholders.
  4. Support role in managing GIFTS database
    • Enter and quality control key milestones, and all grantee and grant data for Innovation and Transormation team.
    • Manage from the beginning to end grants, matching grant applications and institutional support
    • Work in collaboration with the Grant Administration team in Europe.
    • Generate regular reports for sharing with the Philanthropy team
    • Manage declination process, including communicating directly with external applicants
    • Take charge of routine communication with grantees (e.g., alert of payments, confirmation of received reports, etc).

Qualifications:

  • Bachelor’s degree or equivalent diploma.
  • 3-5 years relevant work experience (administration)
  • Fluent in English and Cantonese, both orally and written; additional languages an advantage.
  • Proficient user of Excel, Word, PowerPoint and Outlook and interest in learning new software.
  • Business /corporate for foundation experience with good organisational skills and close attention to detail.
  • Independent worker who enjoys managing a project from beginning to end.
  • Team spirit, strong interpersonal skills, service-oriented, enthusiasm.
  • Interest or prior experience in garment supply chain issues.
